1. Overview
This policy covers refunds and cancellations for Wafeed paid plans, add-ons, and subscription services. Online subscription payments are processed through Paddle Billing. Where applicable, Paddle acts as Merchant of Record for payment processing, tax calculation, invoicing, refunds, chargebacks, and related billing administration.
We aim to be fair and reasonable in all refund and cancellation decisions.
2. Payment Processing
Paddle's checkout and payment terms may apply to the payment transaction. Wafeed remains responsible for operating the Wafeed service itself. Refund requests may be handled through Paddle and Wafeed according to the applicable terms, payment method rules, fraud checks, tax rules, and legal requirements.
Existing manual, voucher, or promotional subscriptions are preserved under the terms agreed when they were activated. Promotional codes and vouchers have no cash value.
3. Refund Requests
Refund requests are reviewed on a case-by-case basis. We aim to respond to all requests within 5 business days, although Paddle, card networks, banks, or payment methods may require additional time to process an approved refund.
- Duplicate payments, confirmed billing errors, or unresolved service failures may qualify for a refund.
- If you experience a technical issue that prevents you from using the Service and we are unable to resolve it, a refund may be considered.
- No automatic prorated refund is guaranteed for unused subscription time unless required by law or expressly agreed.
- Refunds are less likely to be approved for periods where the Service has been actively used.

4. Non-Refundable Items
The following may be non-refundable once work has commenced:
- Setup and configuration fees for custom branding or custom domain connection.
- Completed professional services, implementation support, design, migration, or configuration work.
- Manual or promotional plan activations where the plan period has substantially passed.
- Any fees specifically agreed as non-refundable at the time of arrangement.
5. Cancellation
You may cancel your paid subscription through the Paddle billing portal where available, or by contacting Wafeed support. Upon cancellation:
- Cancellation normally prevents future renewal.
- Access to paid features will continue until the end of the active paid billing period, unless otherwise agreed.
- Your account and data will remain accessible on the free plan after the paid period ends.
- No prorated refund is provided for unused days within an active period unless agreed under Section 3.
We may also cancel or suspend a subscription if there is a violation of the Terms of Service or the Acceptable Use Policy.
6. Vouchers and Promotional Codes
- Voucher codes have no cash value and cannot be exchanged for money.
- Vouchers may have expiry dates and eligibility conditions.
- Expired or unused vouchers are not refundable or extendable unless expressly stated.
- Promotional offers are subject to their stated terms at the time of issue.
7. Chargebacks and Payment Disputes
Chargebacks and payment disputes may be processed according to Paddle's terms, card network rules, bank rules, and applicable law. Please contact us first when possible so we can investigate billing errors or service issues. Your statutory consumer rights remain unaffected where applicable.
